Tip of the Week: Company Culture Can Be a Huge Business Strength

Your company’s culture is its identity - the impression that your company leaves when someone makes contact. As such, there are assorted reasons that it pays to create an engaging and inclusive company culture.

Let me ask you this: would you rather work someplace that had a reputation of nurturing incoming talent and ensuring that this talent had the resources and access that they needed to succeed in their position, or someplace notorious for leaving new employees to fend for themselves, providing minimal direction when direction is necessary to successfully complete a task? The right company culture can motivate your employees significantly.  The same Gallup research referenced above demonstrated that engaged employees saw productivity boosts of 21 percent. Another study, by IBM-owned Kenexa, suggested that organizations with an engaged workforce were able to bring in twice the income as an organization without these levels of engagement.

Reduces Employee Burnout

There are many reasons that an employee can experience some level of burnout, whether their schedules are overpacked or their hours are simply too long to be sustainable. However, a negative company culture is often overlooked as the root cause of an employee becoming disengaged with their work.

While employee burnout may seem like more of the employee’s problem at first consideration, there are some very real consequences that a business will need to deal with. For instance, employee burnout has been linked to an estimated 49 percent increase in workplace accidents, and a 60 percent increase in errors.

Stressed out employees are a liability to your company, but helping them to reduce that stress with a better company culture can turn these liabilities into true assets.

Better Attendance

Speaking of assets, your employees aren’t going to be very good ones if they are never in the office. A Harvard Business Review study reported an increase in employee absenteeism of 37 percent among disengaged employees. Knowing, and Planning For, Your Organization’s Compliance Burden

Today’s world is driven by data. As a result, information systems have to be secured. That really is the bottom line. Business is all about relationships and without proper security protocols in place, there are some very serious situations that could completely decimate the relationships you’ve worked so hard to forge. While today’s hackers have a lot of different ways to breach an organization’s network, data breaches that occur as a result of lax security are unforgivable from a customer standpoint. Some organizations can spend more on security than others, but it with the landscape as it is today, it has to be a priority, no matter your IT budget.

Here are some of the regulations all business owners and IT administrators should know:

  • GDPR: The European Union’s General Data Protection Regulation is as comprehensive a data protection law as there is. Its aim is to protect the citizens of EU-member countries from data breaches. The GDPR applies to every organization that processes personal information of people residing in the EU.
  • GPG13: Known as the Good Practice Guide 13, it is the U.K.’s general data protection regulation for organizations that do business in the U.K.
  • HIPAA: The Health Insurance Portability and Accountability Act puts several guidelines on how patients’ data is shared and disseminated by insurers and health maintenance organizations.
  • SOx - The Sarbanes-Oxley Act requires corporate records to be kept for seven years to ensure that there is transparency in the accounting. For IT this means being able to have access to data to run reports when called upon.
  • PCI-DSS - Payment Card Index Data Security Standard are regulations enacted to try and reduce fraud by protecting an individual’s credit card information.

That’s just a few of the regulations business owners and IT administrators have to be cognizant of. For business owners there are several more, like the federal and state tax codes, and the adherence to the Affordable Care Act. All these regulations seem pretty straightforward and necessary until you begin to roll them out for your business. Then they just get expensive. In the first-ever Small Business Regulations Survey conducted by the National Small Business Association, the numbers reported, although not comprehensive by any means, weren’t pretty. To put it frankly, the cost to the small businesses that reported, would sink as many or more new businesses.

“The average small-business owner is spending at least $12,000 every year dealing with regulations,” NSBA President Todd McCracken said, “This has real-world implications: more than half of small businesses have held off on hiring a new employee due to regulatory burdens.” The report goes on to state that the average regulatory costs to start a new business venture add up to a whopping $83,019. These figures don’t take in to account the dozens of man hours each year spent on these very complex problems. It should be stated that the NSBA has been a long-standing advocate of reducing regulations on small businesses.

Regulators are paid to be skeptical, but overall they are put in place for a purpose, as oversight to ensure sustained adherence to data protection laws. How much can they demand from a small business? The question begs for analysis, as to listen to entrepreneurs talk about them regulations are unnecessary, but as stated before, these regulations aren’t just implemented willy-nilly. They have empirical evidence of immoral or unethical wrongdoing attached to them. Moreover, it becomes clear that the financial pain these entrepreneurs are in is indefinite, which means that it is highly debatable. The truth is that each scenario needs to be seen in perspective in order to understand just how much certain regulations are costing a business.

One thing is certain: that the average small business pays more for their regulatory compliance programs than larger businesses in the same market do. That disparity is a main point of contention for many small business owners, as it directly affects a company's ability to compete. Some studies have seen organizations that have less than 20 employees charged nearly 60 percent more than slightly larger businesses. Getting into which regulations are onerous and which are necessary would take an examination of each one in detail, so it’s worth it to repeat that these regulations were bred out of situations where individuals were hurt, making them an important part of the oversight process.

To Comply or Not To Comply? That Is the Question
Small business owners who have been reprimanded or fined as a result of a lack of regulatory awareness have a tendency to get the message, but if an organization is notoriously noncompliant and has slipped past regulators, there is a tendency for them to stay the course; and, that course is filled with nothing good. Many european and multinational corporations are expecting to invest $1 million toward their GDPR compliance. Obviously this figure, despite being higher per user, will be substantially lower for small and mid-sized businesses. The cost, however, remains significant, and while an organization could probably get around it for a bit, when it hits, it could just sink the whole business.

According to Infosecurity Magazine, the average cost of compliance with GDPR is costing enterprises and average of $5.5 million, which comes in about a third of the estimate cost of noncompliance, $14.82 million. That’s a lot of cheddar. It stands to reason that if you are going to spend upwards of 10 percent of your yearly IT budget on ensuring your organization is compliant, that you meet the criteria under the regulation. The best way to do that is by finding affordable solutions that won’t take as big of a chunk out of your operational budget every year.

More than the capital, a business that doesn’t adhere to simple IT regulations probably isn’t adhering to other regulations. Would you want to do business with someone that you know won’t do what’s asked of them to protect YOUR data? Making products can be a bit of a puzzle. You have to fit the right parts together to create the product. Each of those parts comes from somewhere. I Never Need to Call My Managed IT Provider, Do I Need Them?

What Am I Paying For?

If you utilize a managed service provider (MSP) who handles the maintenance and support of your IT infrastructure, it’s likely that you pay a flat monthly, quarterly, or yearly rate to cover the upkeep of your workstations, servers, and network infrastructure. This model has become increasingly common and it makes a lot of sense; it takes a decent amount of maintenance to keep a business network running smoothly, and when it’s handled proactively there are fewer issues in the long run.

One thing to note; we can’t account for every British Columbia provider, because everyone has their own way of quoting and billing for their IT service, but typically if you get a monthly flat-rate bill per user or per device then your IT company is providing some level of service on a regular basis. That may or may not be all-inclusive support for end users, cover hardware failures, etc. We’re not really here to nitpick the minutiae of an agreement though, what’s important is that you are getting what you pay for, and perhaps more importantly, that your IT is handled in a way that isn’t setting you up for failure down the road.

All that out of the way, when reviewing your regular technology bills, when you see that line item for maintenance and support, you might look back at how often your team had to call for support or put in a service ticket over the past several months. If your IT has been running smoothly the past few months, you probably have that one big question…

It’s the Pareto Principle

A little tangent here; but you know when it’s time to pay that homeowner’s insurance bill, and you think to yourself, “Man, I didn’t have to use this at all this year. I’d probably feel a little better writing this check if the insurance had to pay for a new roof or to recarpet my basement.” You are not alone, and that’s the same feeling you might get with good IT management.

Back on track, the Pareto Principle, more commonly referred to as the 80/20 rule, states that 80 percent of the effects come from 20 percent of the causes. Basically, it’s an ounce of prevention equals a pound of cure.

That’s exactly how IT works. If you set everything up right, configure it and document it well, and then carefully monitor it, you won’t be running back and forth to keep fixing it. It’s typically much more cost effective to manage and maintain your network than it is to set it and forget it, and only come back when something goes horribly wrong.

If your IT is running smoothly, and your users are productive, and your security is passing every audit with flying colors, then that ongoing management and maintenance is performing exactly how it is supposed to.

It’s not like insurance, where you continue to pay for the peace of mind that when something happens you are covered. Instead, you are paying to prevent something bad from happening in the first place.

Being Busy Doesn’t Mean You’re Being Productive

A Rose by Any Other Name
Frankly, it’s pretty easy to observe that “busy” and “productive” are anything but synonymous. We all know those people who seem to be constantly running around, working on this or that. Are these people busy? Certainly. Are they actually accomplishing anything? Maybe, maybe not.

Look at it this way - you can be ‘busy’ doing anything. However, in order to be ‘productive,’ you need to actually produce something. It doesn’t matter if it’s a completed sales proposal, an email explaining away the confusion around a particularly convoluted subject, or… anything else, really, as long as it helps to advance the business’ goals.

The Inherent Issue in Comparing the Two
Unfortunately, much of our context for determining between busyness and productivity comes from the least objective source there is - our own perception.

Look at it this way: let’s say that you gave a research assignment to two employees, with a deadline of an hour. If you left, only to return and see one employee watching YouTube videos, and the other one typing away, who would you see as being the productive one? In the moment, you would probably say that it was the employee who was still typing, and not the one watching videos on the Internet. However, what if I told you that the employee watching videos was actually watching videos related to the task you had assigned, and the other was working on what would likely be their fourth unpublished novel? Or that the employee watching the videos had long since completed the assignment, and was taking a well-deserved break, while the employee who was still typing was only doing so because they had goofed off for much of the time you were away?

This illustrates two considerations: how much different productivity really is than pure busyness, as well as how similar they have the potential to be. In order to keep from fooling yourself into thinking you’re being productive when you’re really just looking busy, try asking yourself a few questions as you commence.

For example, you can take a look at how you spend your time, and compare it to what your responsibilities really are at their core.

For instance, let’s say that Bill’s job was to ensure that the company remained secure. Why Your Business Needs to Define Its Ethical Code

Data collection is one of the current big concerns in technology. With another newsworthy data breach practically every other day, companies that accumulate data for seemingly little reason effectively put their clients and customers at a greater risk of having this data stolen. Reflecting upon this, it is no wonder that 75 percent of consumers are concerned about brands keeping track of their browsing habits.

Facebook has been the focus of some negative attention in past months thanks to these concerns. In addition to the Cambridge Analytica situation, Facebook has adopted artificial intelligence technologies to analyze their users. This analysis is used to predict future behaviors, these insights being sold to advertisers. While this brings up many legitimate concerns about data privacy, it also introduces a different topic: the need for a code of ethics surrounding the use of collected data, as well as how much data is collected.

Why This Is a Real Issue
It should come as no surprise that businesses and individuals have different priorities, and that these different priorities shape their ethics in different ways. Likewise, the primary purpose of any business is to generate revenue through profit. Therefore, it only makes sense that a business as a unit would have the motivation to collect as much data as they can - after all, the more data available, the more insights that could be presumably be gleaned, and the more successful the business would be… in theory.

However, as mentioned above, many businesses seem to collect as much data as they can just so they can have it. This is not a great approach for them to take for a few reasons. Most obviously, because it just enables more data to be compromised if a breach was to occur.

Without the guidance of a code of ethics leading your business decisions, the likelihood of risking your clients’ data for the sake of advancement - be it more insight, improved automation and artificial intelligence, or another business goal - becomes much higher.

Enforcing Ethics
In order to create a workplace that is in alignment with your determined ethics, you need to make sure of two things. One, that you clearly establish and share them within your business so that your employees are on the same page as you are, and two, that you stand by these ethics.

To accomplish this, learning your company’s ethics should be a part of an employee’s onboarding process, with a written document leaving no questions as to what will and won’t be tolerated. Then, you need to make sure that you not only listen when ethical violations are reported, but also allow those reporting them to remain anonymous.

Tip of the Week: Use Admin Accounts to Control Your Network

What’s the Big Deal?
You would think that assigning administrator accounts would prevent users from making poor choices with your data. The main difference between the two is that administrator accounts have many more privileges compared to the traditional account used by the average user. In fact, a traditional account is much safer to use unless you actually need administrator access to perform a certain task. Ordinarily, a normal user account can’t install software or mess around with important files in the system, but this isn’t necessarily the case for an administrator account.

Admin accounts are essentially the most powerful account on your computer. They have the permissions to perform just about any role on your PC. It’s the same role that your IT department uses to make any significant changes to your devices during updates and general maintenance. Every computer needs to have at least one admin account found on it, but if access from untrained users is allowed, they could make changes to important files needed for the computer to run properly.

Why You Should Limit Admin Account Use
While it might make sense to have admin permissions if you’re the only one who uses your computer, this is simply not the case on a managed network. There are security problems associated with using an admin account as your primary device account. What happens if your account gets compromised by some sort of malware? It’s simple; the malware will install on your admin account and be able to make any changes it wants to any of the important files only accessible by your admin account. While more permissions as the device owner might sound ideal, it only makes it easier for threats to leave a lasting effect on a device.

Standard accounts have more limited permissions, meaning that if they are compromised in any fashion, they will be more limited in the amount of damage they can cause. It’s for this reason that it’s best to limit administrator accounts as often as possible, as there is no guarantee you will never fall victim to such attacks.

Data Backup
Deciding on a backup platform is obviously the first step in the process. There are several strategies a small business can use to cover its assets. They could use cloud storage, network attached storage facilities that use hard disk drives or tape backup drives, or even a manual system where people protect the data by backing it up to a hard drive and then take a copy with them when they leave. No matter what platform you choose to utilize, you have to understand that if you look at your data as an asset, it stands to reason that you would want to protect as much data as you can. To do this, an organization is going to have to establish what are known as their recovery point objective (RPO) and recovery time objective (RTO). Before we elaborate, we should say that if you are in a position where you need to restore a large portion of your data--whether it be because of malware, natural disaster, sabotage, or blatant negligence--you absolutely have to have these plans made (and tested).

The recovery point objective defines how much data your business could reasonably afford to lose in order to be able to sustain operational effectiveness. Recovery time objective is the maximum time you believe you can go without your data before your business fails. Each figure isn’t static throughout your business. Some of your data is more important than other data, of course, and has to be weighted this way. Therefore, some systems that hold more crucial data will have different RPOs and RTOs than less critical systems.

How the System Provides a Calculable ROI
This is where you can put it all together. How do you calculate the return on investment on systems that you hope you will never ever use?

  • Establish your organization’s hourly realized revenue. To do this you take the amount of revenue your organization has taken in over the past year and divide it by the total working hours you and your staff have logged for that time.
  • Figure out how much you would stand to lose both with and without a backup and recovery system in place.
  • Multiply the hourly realized revenue with both scenario-specific figures you’ve calculated in step 2 and take the difference. This number represents the total avoided loss, in dollars.
  • Finally, plug that figure into this formula to measure your backup system’s ROI:

ROI = (Avoided loss - Cost of backup and recovery system x 100%)

Without a disaster hitting your business, you may think that backup and recovery strategies are a waste of time and resources, but the ROI is clear.
