Tip of the Week: How to Encourage a Good Team Dynamic


Method One: Clarify Roles

One of the first things that you should do is to ensure that everyone knows exactly what their role is with no misunderstandings. This will assist in establishing processes in which certain team members have a clear sense of what they are responsible for, and how that ties into the larger goal.

There are a few direct benefits that this transparency with your team can bring. First, you can give your team ample feedback into their performance and assign them new challenges and objectives to accomplish. By giving them this power over their own process, you encourage them to take ownership over their work and the end result.

I don’t know about you, but I’d rather produce something good if my name was going to be associated with it, if my contributions could be traced back to me.

One of the biggest obstacles to true teamwork is the ego. To avoid creating interpersonal tensions amongst your team through your praise, try praising the team as a unit. Say Goodbye to Skype (It’s Been Fun)

Skype, once a popular and beloved video chat platform, has reached the end of its rope (in a manner of speaking). Microsoft is discontinuing the 20-year-old communication application, instead focusing its efforts on Microsoft Teams. The last update to Skype will be on May 5, but that doesn’t change the impact Skype had on the development of modern communication tools.

Teams Really is Replacing Skype

Microsoft is enabling Skype users to import their communications, including chats, contacts, photos, call history, and so on, all to the Teams platform, effectively preserving and replacing it at the same time.

This will occur based on a pop-up that Microsoft has added to Skype; you can watch this YouTube video for a look at it.

But Why?

The one big reason why Skype is disappearing is because all the other tools it inspired have surpassed it.

Skype was founded in 2003, then acquired by Microsoft in 2011 as a part of its efforts to expand its enterprise collaboration solutions. During this time, it also acquired Bing to help out its new Windows Phone 7 OS (look how far that went). Microsoft then completed a rebrand of its existing communication platform, Lync, as Skype for Business, and bundled it with Office until 2021, when it was discontinued.

Unfortunately for Skype enthusiasts (we know you’re out there… we think), its time has come to join the ever-growing list of discontinued software.

Maybe you’ve seen the headlines:

Telegram Founder, Pavel Durov, Arrested in France

The entrepreneur is facing a pretty broad range of crimes. Let’s take a step back and explain who he is, and what Telegram is.

What is Telegram?

Telegram is a communications app. It’s an instant messenger, similar to WhatsApp (which is owned by Meta), Google Hangouts (which is owned by the owner of Google, Alphabet), and Signal (which is owned by the non-profit Signal Foundation).

Telegram is sort of unique, because it checks a few boxes that some users can’t get from other alternative apps, such as:

  • Telegram offers end-to-end-encryption (E2EE). We’ll explain what that is momentarily, but it’s a big one.
  • You don’t need a phone number to use it, so it feels less invasive and more private (and it’s also easier to make an account).
  • Telegram isn’t owned by some major social media conglomerate like Google or Meta.

So this supposedly super secure, super private messaging app isn’t beholden to the two biggest giants in the tech industry, and that is pretty enticing to many people.

In fact, Telegram has an active user base of about 900 million users. Facebook Messenger has around a billion active users, and WhatsApp sits at 2 billion. This clearly makes Telegram a popular service.

End-to-End-What-Now?
End-to-End-Encryption is a really important feature of modern-day messaging apps. Most anything on the web can encrypt your communication. Technically, when you post something publicly on Facebook, there is a level of encryption that keeps your activity secure.

E2EE is where your information is encrypted, and it isn’t unencrypted until it gets to the intended recipient. That means, theoretically, that not even the app provider, the Internet Service Provider, or anyone in between can intercept and view your content.

When communication is E2EE’d, and you send me a message on Telegram, it means Telegram the company doesn’t know what you sent to me.

You can see why folks would like this, right?

In a world where it feels like you can mention something in passing, and have social media sites deliver ads to you about it within minutes, it sure can feel refreshing to have a communication app that promises to keep its nose out of your business.

Seriously—just a quick tangent. I was talking with my partner about a chain restaurant we went to on a recent trip. This chain restaurant doesn’t have locations anywhere near us. The closest one is a six-hour drive away. I mentioned it to them in the car. Obviously our phones were with us at the time. I’m now getting Facebook and Twitter ads about this chain. This happens a lot, and it’s a topic for a whole other blog. Stay tuned.

So Telegram is popular, and promises security. Sounds good, right?

Oh, one more thing about the whole privacy and security thing—Telegram only uses E2EE in calls and what it calls “secret chats.” Not all communication is encrypted end-to-end on Telegram. It’s worth mentioning that because users often claim that WhatsApp is less secure, but WhatsApp does encrypt all messages, calls, and video calls.

Overall, at least on the surface, there’s a lot to like about Telegram. It’s safer and more secure than most chat apps, and if you don’t like being married to Facebook or Google, it will likely check most of your boxes.

The Telegram Controversy

Everything sounds good, right? So why is the founder and owner of Telegram, Pavel Durov, being held in France?

This doesn’t happen very often in the tech industry, but Mr. Durov, 39, is being charged as being personally liable for the behavior of users on his app. The list of crimes he’s being charged for is pretty wide, but the short of it is that Telegram is being used for a lot of illicit activity. 

Pavel Durov was detained by French authorities and is being charged with complicity in managing an online platform to enable illegal transactions by an organized group. This could lead to a sentence of up to 10 years in prison.

Some of the other charges included complicity in crimes such as drug trafficking and fraud,  enabling the distribution of child sexual abuse material, and refusing to cooperate with law enforcement.

This is an extremely unique case because we rarely see big tech entrepreneurs held accountable for something that their products and services enable others to do. Telegram probably wasn’t inherently designed to do evil, but due to its privacy and security, it is a safe haven for criminals to commit crimes.

Modern Technology: Privacy Versus Moderation

How long have we (collectively, not just those of us at Coleman Technologies) been talking about the importance of security and privacy? How long has the world been talking about the level of moderation these massive communication platforms have (or don’t have)? It feels like it’s been a long time.

For almost a decade now, Facebook/Meta has been playing tug of war with itself when it comes to moderating and controlling what sort of content spreads easily and what doesn’t. We’ve seen a major social media platform all but die the goofiest death imaginable with Twitter (or X the Everything App if any of you happen to use its newly adopted name), all in the name of moderation.

Nobody likes to be moderated. Nobody likes their chats and conversations recorded and read for the sake of advertising or analytics. However, a complete lack of moderation seems to turn a platform into a Mad-Max-style playground for bots, scammers, and cybercriminals.

Maybe AI is the answer (but someone needs to moderate the AI, and AI is extremely easy for the savvy user to deceive). Maybe we need to rely on users to be better at reporting problems. 

There really isn’t a simple answer to any of this. We are all living in a world full of misinformation and opaqueness, and it’s very easy to become absolutely exhausted by it all. Of course, content moderation can quickly go too far, and nobody wants that either.

The Cybersecurity Take on All of This

First and foremost, Telegram, Signal, Google, Facebook—all of the platforms we mentioned today are all fine to use. No matter what technology you use, there are going to be people thinking about ways to take advantage of it.

Heck, my son can’t play Minecraft without someone coming in and cheating and sneaking away with all of his coveted diamonds.

If a technology interfaces with people, some people might try to spoil the experience.

That’s why it’s important that you make yourself aware of scams and exploits. All of those platforms mentioned above aren’t designed to share malware, but a person can figure out a way to trick you into clicking a link that infects your device. None of the platforms are designed for perpetuating abuse or selling illegal substances either, but people will find a way. No technology is perfect, and even if it were, when millions of people use it, some of those folks are going to be bad eggs.

This is an important lesson for cybersecurity. You aren’t in a constant uphill battle with Microsoft, or with the concept of malware. You are in a battle against people who want to upset your business and take your money.

Great customer service is crucial to keeping your business running, and it all stems from having great internal operations—at least, that’s what 90% of the survey respondents believe. 40% claim they are unsatisfied with the way their providers handle their cases. If you think of your employees as customers, you can ensure they are getting the support they need from you to do their jobs to the best of their ability. Your employees are more likely to use a good or service if they know they have support from you and they know their feedback is appreciated and valued.

Gmail Templates Can Speed Up Your Communications


There are multiple add-ons and browser extensions available to help boost your email templates with more dynamic options, but today, we’ll be focusing on the baked-in capabilities that Gmail comes with.

What is a Gmail Template?

A template is Gmail’s digitized version of a form letter—a stock piece of correspondence that doesn’t change much (if at all) each time it is sent. Naturally, by eliminating the time it takes to repeatedly re-type what is essentially the same message over and over, a template can make your more routine correspondences much more efficient.

As a result, you can spend more time on your more important tasks, without short-changing your communications.

Activating Gmail Templates

In Gmail, access your Settings by clicking on the gear-shaped icon. From there, select See All Settings, and then Advanced. On the page that appears, you should find an option for Templates. Enable it and Save Changes.

Now, you’ll have the capability to create whatever template you need for your usual correspondence.

Creating a Gmail Template

Generating a new template is very simple. All you must do is start a new email and write it out the way that your template should replicate. Once your template is written to your liking, click the message’s three-dot menu and navigate to the Templates option. In the sub-menu that appears, you can Save draft as template (which also gives you the option to overwrite your old templates if they need an update). The Templates sub-menu is also where you’ll find all the templates you have saved in the past, when you’re ready to use them, as well as the option to Delete template if one is no longer applicable.

Considerations for Your Business’ Collaboration


Hardware

Fortunately, the biggest hurdle to collaboration isn’t usually having the right solutions in the office, it’s primarily making sure that these solutions are being put to use properly.

Consider your Internet setup - is it strong enough to wirelessly provide your entire office with connectivity, or would you be benefitted by implementing additional access points? Do you have the hardware needed to communicate and share data with mobile employees, and most importantly, can you properly secure all of it? Speaking of mobility, you will also want to consider if you want to provide your staff with company-owned mobile devices instead of leveraging a Bring Your Own Device Policy. There are options out there to procure these devices for well below retail rates, as long as these devices are bought in bulk.

Software

Depending on your type of business, you may have more or less to do in order to promote collaboration in your organization. A brick-and-mortar establishment will likely have its resources centralized, which means that employees will need to have access to these resources in order to properly communicate with one another, sharing progress on their work. While a private cloud platform would serve this need quite well, these solutions are typically far too expensive for the average SMB to consider.

Know Your Tech: PDF


The Development of the PDF
The PDF is best known for promoting the sharing of information as it was created. A PDF looks the same whether it is in digital format or if it is printed to paper, no matter what OS is being used. Before this format was created, sharing information between the two was extremely difficult, but in 1990, Adobe co-founder John Warnock wrote a paper titled A Camelot Project, in which he described the limitations of sharing information. He would go on to found Team Camelot, the group of software developers that created the PDF, a file that can be universally shared across all computing platforms.

At first, however, it held very little utility as users had to purchase Adobe Acrobat in order to use the file type. Team Camelot, however, built additional functionality as the Internet got more popular, and as its utility increased, it was eventually adopted by the International Organization for Standardization and opened up to the masses.

Advantages of the PDF
Nowadays, there are multiple types of PDFs, and their utility is tied to their makeup. The types are as follows:

  • Digitally Created PDFs - PDF files created in a digital environment, whatever that environment might be (Windows, Mac OS X, Linux, Android, etc.). These PDFs are fully customizable and editable.
  • Scanned PDFs - A Scanned PDF is effectively an image of a document. They are not inherently customizable, but there is software that can be utilized to change that.
  • Searchable PDFs - Thanks to Optical Character Recognition (OCR) software adding an editable text layer to an image layer, a PDF becomes searchable. This process enables greater interaction with PDFs like this. In a document management system, many document scanners come with the kind of software users need to convert a scanned PDF into a searchable PDF. As such, it is a core component of a paperless office.

PDFs have shown to be extraordinarily useful for businesses. They are convenient to use, universally compatible, and can be extremely secure.
