Rather than settling for a cheaper system with plans of replacing it later, make sure you select a system that can be upgraded and expanded (yes, there is a difference). That way, you can avoid doubling your costs by eliminating the need to procure more than one system. Become an Email Champion by Spending Less Time Dealing with Email


Make Your Inbox Do the Work for You

You’ve got better things to do than organizing and prioritizing your emails manually. Granted, you’ll still need to respond to important emails, but most email clients have everything you need to set up a system that automatically parses and sorts emails based on a whole slew of different factors. It will take a little time, and likely a few rounds of adjustments to get your inbox to work the way you want it to, but we’re going to show you the tools that will help get you there.

Most businesses either use Microsoft Outlook, or Google’s Gmail, so we’re going to cover these two email platforms.

Gmail’s Labels and Filters

If you use Gmail, there are two tools that you’ll want to get familiar with: Labels and Filters.

A label is exactly what it sounds like. Applying a label to an email will essentially categorize it. If you used to use Outlook in the past, think of these as Folders (we’ll get to Outlook next).

You can organize labels based on a wide variety of topics—maybe you have a label for each project you are working on, or a label for different types of correspondence (invoices, reports, employee evals, etc.). Organizing your email into labels makes it easier to pull up specific emails later without having to rely on searching for them. More than one label can be applied to any particular email.

To create a label, just select Create new label in the sidebar (hidden under the More link) in Gmail or select the Tag Icon Box that appears when an email is selected. You’ll be able to select any labels you already have or create a new one. You’ll also be able to color-code each label.

But remember, we want to save time, so instead of having to manually move emails to a label, you can create filters to automatically apply labels to certain types of messages. Once you have some labels created, go to Settings, and click the Filters and Blocked Addresses tab. Once there, select Create a new filter.

You can also start this process by doing a Search from the top of your Gmail. Click the little dropdown arrow in the search box at the top of your email, and you can fill out the form to search for specific emails. You can create filters based on who the email is from, what email address the email is sent to, the subject line, words within the email, and more. 

If I wanted to send all correspondence from Bob to a certain label, I’d just put his email in the To: line and click Create Filter. Then Gmail will allow me to choose what to do to all emails from Bob. I could star it to make it stand out, apply a label, or a variety of other options.

Microsoft Outlook’s Rules and Folders

Microsoft Outlook’s process is pretty similar. Instead of filters and labels, Microsoft calls them rules and folders. Here are the steps to set up new rules:

  • Right-click the message and select Rules, then, select Create Rule.
  • Then you need to select the conditions that activate the rule, and what that means. 
  • Make sure you select Run this new rule now on messages already in the current folder (if you wish) and click OK to finalize your rule.

This means that you will need to have a folder to file these messages in. While the option will be presented to you as you create a rule, you can also set up your folders separately in advance.

  • In the Mail pane, right-click where you want to add your folder and select New Folder… from the menu that appears.
  • Name your folder, and press Enter.

It takes time to build all of the rules (or filters) you need to streamline your inbox, but it will ultimately save you hours of time that would otherwise be wasted sifting through your inbox by hand. It’s all about becoming more efficient!

3 Strategies to Win When You Have Too Much to Do

Have you ever felt like there was simply too much to do and unless you light a fire under your butt, you have no chance to get it all done? What if this state is standard operating procedure? For many small business owners and employees, this is the reality of going to work every day. In this week’s blog we thought we would discuss three strategies that work to lighten the load when it seems like the to-do list is just too big.

Work When You Are Most Productive

When there is a lot to do, it is easy to get distracted trying to get everything done. One of the best ways to gain the focus needed to get this work done is to work when you work best. Different people are more productive at different times of the day. Scientifically this is called biorhythm.

A person’s biorhythm is separated into three parts. There is the physical cycle that measures energy levels, endurance, strength, and dexterity. The emotional cycle covers your emotions, stress levels and moods. The intellectual cycle measures things like decision making, problem solving, and your ability to concentrate. These three biorhythm cycles work on different timelines, but if you can pinpoint the maximum highs and lows, you can plan to work on tasks that take a certain skill at the time you can maximize your ability to complete them. 

Prioritize Importance of Tasks

One of the best things to do before you get down to business is to ensure that you do the most important tasks first. The simple reason for this is that when you set out, you don’t have the hours and hours of work under your belt that could kill your concentration. If you come at the most important parts of your day with the vigor you have when you first start it will certainly benefit your overall productivity. 

One very simple and effective way to prioritize tasks is through what is called the Eisenhower decision matrix. Named for former U.S. President and Commanding General of the Allied forces in World War II, the basic gist is that you prioritize tasks based on this criteria:

  • Important
  • Urgent
  • Important and Urgent
  • None of the Above

By focusing on the important and urgent tasks first, you will be able to get a good start whittling down the task list and do so while your brain is fresh. 

Stop Reacting to Everything

Distractions can hinder progress like nothing else; and, today, there are more distractions than ever. If you are facing a mountain of work and need to get things done, you will want to limit the amount you change what you are doing as to give your best attention to the thing you are working on at the time. Business may not allow you to simply ignore things while you are working, but it doesn’t have to keep you from being productive. 

The best way to accomplish this is to set aside time in the day to respond to situations. You can’t possibly do your best work if you are stopping mid-task just to answer questions and handle other situations. Your best bet is to set time out of your day where you turn your notifications off and utilize the do not disturb functions that you have available to you. The more you set your sights on accomplishing the planned tasks, the better you will perform.

Tip of the Week: How to Create QR Codes in Microsoft Excel

QR codes are a handy way to direct someone to the right place online, like your business’ website, but did you know that they are also pretty easy to make? Let’s go over how you can whip up your own with the help of Microsoft Excel.

First, You Need to Build a Table

In Excel, you’ll want to create a table. Under the Insert menu, select Table and make one with two columns. Rename Column1 as Text and Column2 as QR Code.

The result should look like this:

Next, You Populate It With Your Links

In the Text column, paste the links for which you want to generate a QR code.

Then, You Add the Formula

Then, selecting the top empty space in the QR Code column, paste in the following formula: 

=IMAGE("https://api.qrserver.com/v1/create-qr-code/?size=150x150&data="&[@Text]&"")

Finally, You Have Your QR Code

This will generate a QR code for each link in the corresponding cell. While we have edited the screenshot somewhat to show you the result more clearly, all of these codes will direct to the associated link, and can be copied and used elsewhere.

Tip of the Week: How to Replicate and Relocate Text Easily


Once you have your content selected, whether it’s text or an image, all you have to do is press two keys.

To cut a word or phrase from one place in your content, press Ctrl + X. To copy this content instead, keeping the original and duplicating it elsewhere, press Ctrl + C. Pasting your content is just as simple - with the place you want the content added selected, press Ctrl + V. This will insert your content where you want.

If you happen to be copy-pasting from a website to another document, it may not be a bad idea to paste it without bringing any formatting from the website over. Otherwise, it is apt to look funny on your documents. Pasting without formatting is almost as simple as regular pasting, you just add another keystroke in the middle: Ctrl + Shift + V.

Of course, any of the tasks can be accomplished with the mouse alone. Right clicking on a word, an image, or a group of selected text will bring up a menu that includes all of the above options. However, your cursor is generally more accurate than the mouse, so you may have to undo your efforts (Ctrl + Z) a few times before it’s right.

Real World Example:
Let’s say you want to send a webpage link to someone in an email or instant message. In your web browser, click the address bar (that’s the part with the ‘http://… “). That will highlight the URL. Hold down Ctrl and press C. Then go into your email or instant messenger, click where you want to paste the URL, and hold down Ctrl and press V.

Gmail Templates Can Speed Up Your Communications


There are multiple add-ons and browser extensions available to help boost your email templates with more dynamic options, but today, we’ll be focusing on the baked-in capabilities that Gmail comes with.

What is a Gmail Template?

A template is Gmail’s digitized version of a form letter—a stock piece of correspondence that doesn’t change much (if at all) each time it is sent. Naturally, by eliminating the time it takes to repeatedly re-type what is essentially the same message over and over, a template can make your more routine correspondences much more efficient.

As a result, you can spend more time on your more important tasks, without short-changing your communications.

Activating Gmail Templates

In Gmail, access your Settings by clicking on the gear-shaped icon. From there, select See All Settings, and then Advanced. On the page that appears, you should find an option for Templates. Enable it and Save Changes.

Now, you’ll have the capability to create whatever template you need for your usual correspondence.

Creating a Gmail Template

Generating a new template is very simple. All you must do is start a new email and write it out the way that your template should replicate. Once your template is written to your liking, click the message’s three-dot menu and navigate to the Templates option. In the sub-menu that appears, you can Save draft as template (which also gives you the option to overwrite your old templates if they need an update). The Templates sub-menu is also where you’ll find all the templates you have saved in the past, when you’re ready to use them, as well as the option to Delete template if one is no longer applicable.

Being Busy Doesn’t Mean You’re Being Productive


A Rose by Any Other Name
Frankly, it’s pretty easy to observe that “busy” and “productive” are anything but synonymous. We all know those people who seem to be constantly running around, working on this or that. Are these people busy? Certainly. Are they actually accomplishing anything? Maybe, maybe not.

Look at it this way - you can be ‘busy’ doing anything. However, in order to be ‘productive,’ you need to actually produce something. It doesn’t matter if it’s a completed sales proposal, an email explaining away the confusion around a particularly convoluted subject, or… anything else, really, as long as it helps to advance the business’ goals.

The Inherent Issue in Comparing the Two
Unfortunately, much of our context for determining between busyness and productivity comes from the least objective source there is - our own perception.

Look at it this way: let’s say that you gave a research assignment to two employees, with a deadline of an hour. If you left, only to return and see one employee watching YouTube videos, and the other one typing away, who would you see as being the productive one? In the moment, you would probably say that it was the employee who was still typing, and not the one watching videos on the Internet. However, what if I told you that the employee watching videos was actually watching videos related to the task you had assigned, and the other was working on what would likely be their fourth unpublished novel? Or that the employee watching the videos had long since completed the assignment, and was taking a well-deserved break, while the employee who was still typing was only doing so because they had goofed off for much of the time you were away?

This illustrates two considerations: how much different productivity really is than pure busyness, as well as how similar they have the potential to be. In order to keep from fooling yourself into thinking you’re being productive when you’re really just looking busy, try asking yourself a few questions as you commence.

For example, you can take a look at how you spend your time, and compare it to what your responsibilities really are at their core.

For instance, let’s say that Bill’s job was to ensure that the company remained secure. If Bill was able to complete all of his day’s tasks in the morning, but then spent the rest of his day reading things online, what would that be considered? Well, that depends. If Bill was reading the latest Bowling Enthusiasts Weekly articles at his desk for the rest of the afternoon, that’s hardly productive. However, if Bill was researching improved cybersecurity practices to enact in the company... that’s a pretty productive way to spend the time.

A Few ‘Keeping Busy’ Red Flags
Of course, none of the following activities have to be time-wasters, they just happen to be in most situations, or require a very specific job responsibility to be considered productive. For instance, many job responsibilities don’t actually require the Internet to be used, so any time spent on it is arguably a waste. The same can be said of social media, and especially email.

Of course, there are also many exceptions to this rule. In essence, you have to use your best judgement, evaluating if a given activity is actually the best use of your time or not.
